About the Job
At UK Government Investments (UKGI), we provide the government with expertise in corporate finance and governance. What we do is unique. We are responsible for ensuring the effective governance and stewardship of government owned companies (such as NatWest Group and the British Business Bank), advising the government on corporate finance issues (including interventions into distressed corporate structures, such as Thomas Cook, British Steel or UK’s acquisition of satellite firm OneWeb) and all significant UK government asset sales (for example, the sale of the Green Investment Bank, sale of UK residential mortgages (most recently through a £4.9 billion disposal in 2019), securitisation of the Student Loan book or the IPO of the Royal Mail). The work we do is significant in terms of social, economic and political impact.
Wholly owned by HM Treasury (HMT), UKGI has a team comprised of c.150 experts which is quickly growing, drawn from the private sector (from banks, accountancy and legal firms) and from the Civil Service to ensure we provide government departments with high quality advice that is delivered and acted upon in the best way possible.
About the Role
We are currently looking for an experienced, enthusiastic and pro-active PA who will have the opportunity to support several Directors and Executive Directors whilst playing a key role within the Corporate Services Team.
UKGI is currently made up of c.160 employees and this role will focus on giving support to the Senior Leadership Team. The team includes, the CEO and 10 Directors who make up our ExCo and 29 Executive Directors.
To be successful in this role, you will need to be professional and adaptable, and enjoy working as part of a team. In addition to your day-to-day duties, and depending on your workload, there may also be opportunities to provide additional support to teams working on one of our many interesting and high-profile projects.
Key Responsibilities
You will:
• Pro-actively manage complex and busy diaries prioritising meetings arranging appointments, booking meeting rooms, organising catering, and being the first point of contact for external visitors.
• Manage all meeting documentation, following up on action points from previous meetings and taking minutes as required.
• Manage your given Director/Exec Director’s inbox actively answering queries and redirecting as appropriate.
• Collate and process expenses and invoices ensuring compliance with UKGI policy and approval process.
• Collate briefing papers for meetings including packs for Board meetings.
• Develop and maintain internal and external networks, building knowledge of key issues in order to effectively identify and communicate priorities.
• Support with general administrative tasks, such as updating the Gifts and Hospitality Register, preparing documents and maintaining an awareness of Health and Safety issues.
About You
You will be confident working with senior stakeholders, and proactive when tackling tasks and resolving issues. You will be flexible and able to manage multiple priorities at any given time. Alongside this, you will also require the skills below:
• Previous experience working as a personal assistant in an office environment with excellent written and verbal communication skills.
• Experience supporting several senior colleagues at a time.
• Strong attention to detail, with proven organisational skills.
• Ability to confidently build relationships with a diverse range of internal and external stakeholders of all levels..
• A flexible, proactive and professional approach, remaining calm under pressure.
• Advanced level user knowledge of Microsoft Office and Outlook.
• Ability to act with total discretion when dealing with commercially sensitive or management issues.
